What to Include on a Graphic Designer Proposal

Creative brief summary showing you understand the client's brand
Mood board or style direction references
Number of initial concepts (typically 2-3)
Design process timeline (discovery, concepts, refinement, delivery)
Revision policy with rounds included and hourly rate for extras
File format deliverables list (native files, exports, web-ready)
Print specifications and production oversight (if applicable)
Timeline from kickoff to final delivery
Pricing options (basic package vs. full brand identity)
Portfolio examples relevant to the client's industry

Billing Tips for Graphic Designers

Always cap the number of revision rounds in your contract and quote. Two to three rounds is industry standard. After that, charge your hourly rate for additional changes. Without this limit, 'design by committee' projects (where multiple stakeholders weigh in) can consume weeks of unpaid work. Communicate the revision policy clearly before starting.

Charge separately for source file delivery if it is not part of the standard package. Native design files (AI, PSD, INDD) represent your working process and enable the client to modify designs without you. Some designers include source files in the price; others charge a premium. Either way, be explicit about it in the quote.

Include a kill fee in every contract. If the client cancels after you have completed concept development, you should receive at least 50% of the total project fee. If the design is complete and awaiting final approval, the full fee is owed. Kill fees protect your time investment when clients change direction.

Quote project-based fees rather than hourly whenever possible. Hourly billing penalizes experienced designers who work faster. A logo design that takes 6 hours from a senior designer is worth the same as one that takes 20 hours from a junior. Price based on the deliverable value, not the clock.

pro tip

Consistency builds trust. Use the same template style for every document you send to a client. Proposals, proposals, contracts. It signals professionalism and makes your brand memorable.

Frequently Asked Questions

Should a graphic design proposal include a mood board?
Including 2-3 style direction references (not a full mood board) shows the client you understand their aesthetic and saves time during the concept phase. Save the detailed mood board for after the project is signed to avoid giving away creative work for free.
How many design concepts should I offer in a proposal?
Two to three initial concepts is standard. Offering more than three dilutes focus and increases your workload without proportional value. Present each concept as a distinct direction so the client is choosing between approaches, not combining elements from each.
Should a graphic design proposal include samples of past work?
Yes. Include 3-5 portfolio examples that are relevant to the client's industry or project type. Brief case studies showing the problem, your solution, and the result are more persuasive than a gallery of images without context.
How do I present pricing for a brand identity proposal?
Offer two or three packages: a core package (logo only), a standard package (logo, color palette, typography, basic guidelines), and a premium package (full brand identity with stationery, social templates, and comprehensive guidelines).
What is the ideal length for a graphic design proposal?
Two to four pages. Visual designers should keep the proposal itself visually polished. Use your layout skills to demonstrate your taste. A well-designed two-page proposal beats a generic ten-page document every time.
